About This Document

This document lists what the EuroCan platform will do in Phase 1, who can do what, how each feature will be checked, and what is left for later. It builds on the Discovery Kickoff & Client Requirements and User Journeys documents. Standard values, such as reminder and alert times, are listed in the Discovery Kickoff & Client Requirements document.

1. Phase 1 at a Glance

  • EuroCan website: students sign up and explore Canadian programmes. Clousor builds it in Phase 1.
  • Student app (iOS and Android): students download it once a counsellor is assigned and use it from then on.
  • Staff back-office: a web app for EuroCan staff, including the WhatsApp inbox.
  • Canada only. Quebec is not included in Phase 1.
  • Three rules apply to every feature: EuroCan gives no immigration advice, EuroCan never holds student money, and every student's consent and privacy are protected. The Discovery Kickoff & Client Requirements document explains each rule.

2. Who Uses the Platform

One person can hold more than one role. They can then do everything each of their roles allows, and every change is logged.

Parents, guardians and recruitment partners have no login in Phase 1. A parent or guardian of a student under 18 only signs the agreement, from the DocuSign email. Partners send student details to EuroCan.


3. Phase 1 Features

3.1 Student Website

3.2 Student App

FeatureWhat It Does
iOS and Android appPublished under EuroCan's own Apple and Google accounts.
One accountStudents sign in with the same account they use on the website.
Service agreementThe student opens the agreement in the app and signs it in DocuSign. For students under 18, a parent or guardian signs from the DocuSign email. DocuSign also sends email reminders every 3 days until everyone has signed, and the app updates once they have.
ConsentsThe student accepts the privacy terms and agrees that their details and documents can be shared with the institutions they apply to.
ProfileName as on passport, date of birth, contact details, home country, school and university history, marks, backlogs (failed subjects), study gaps, English test results and budget.
DocumentsThe list of required documents with the status of each one. Students upload phone photos or PDFs.
ShortlistProgrammes saved on the website or added by the counsellor.
Programme confirmationThe student reviews each agreed programme, its fees and the institution's refund policy, then confirms or declines it. They can cancel a confirmation until the application is submitted.
Application trackingEach application's status and a timeline, including notes the counsellor shares.
ReceiptsThe student pays the application fee, deposit and tuition directly to the institution and uploads each receipt.
Extra documentsAnything the institution asks for, and evidence for each offer condition, such as final marks.
Offers and lettersEach offer with its conditions and deadlines. The student can view and download their Letter of Acceptance (LOA) and Provincial Attestation Letter (PAL).
Visa statusThe student updates their visa status and can see who changed it last.
ArrivalThe student reports arriving in Canada and starting classes.
ConsultationsThe upcoming consultation, with an option to ask to move or cancel it.

3.3 Messages and Settings

FeatureWhat It Does
NotificationsOnce the student has the app, each event sends a push notification and an in-app message. Before that, messages go by email.
Event messagesAgreement ready to sign, document needs correction, programme to confirm, application fee to pay, application submitted, more information requested and decision received.
RemindersThe day before a consultation, every 3 days while the agreement is unsigned or a programme confirmation is unanswered, and 7 days before a condition deadline, a deposit deadline or the PAL expiry date.
Backup channelsWhatsApp and email, as the student chooses. WhatsApp messages go only to students who agreed to them.
Sensitive details stay in the appPassport details and payment receipts are shown only inside the app, never in WhatsApp or email.
Account settingsOn the website or in the app, students choose their contact channels, unsubscribe from marketing and delete their account. Personal details are deleted within 30 days of the request. Invoices and commission records are kept for 6 years, as Canadian tax rules require.
UnsubscribeEvery marketing email or WhatsApp message includes a simple way to unsubscribe.

3.4 Enquiries and Students

Staff-created accountsStaff create accounts for students who come through a partner, a walk-in visit, word of mouth or WhatsApp, and can fill in the sign-up questions for them.
Set-password emailWhen staff create an account, the student gets an email to set their own password, and gives their consent when they first sign in. Staff never set or see the password.
Source and partnerEach student's source (website, partner, walk-in visit, word of mouth or WhatsApp) and partner, if any.
Consent recordWhen and how each student agreed to be contacted, and whether they agreed to WhatsApp messages. Every student gives their own consent, including students sent by a partner.
Contact requestsStaff record an unsubscribe or account deletion request that a student makes by phone, WhatsApp or email.
Duplicate checkA new account with the same email or phone number as an existing record is linked to that record.
AssignmentNew students wait in the manager's unassigned list until a manager assigns them to a counsellor. Managers can reassign at any time, and the history is kept.
Enquiry statusesNew, Contacted and Consultation Booked, ending as Qualified, Not Qualified or Lost.
App inviteThe back-office sends the student an email, or a WhatsApp message if they agreed, with App Store and Google Play links. The counsellor can resend it and sees who hasn't installed the app yet.
Consultation calendarThe counsellor books and rebooks consultations, shown in the student's time zone, and adds a video link when needed.
Qualify or closeAfter the consultation the counsellor marks the student Qualified, or Not Qualified with a reason. A counsellor can mark a student Lost with a reason at any time.
Under-18 detailsThe student's date of birth and, for students under 18, a parent's or guardian's name and email for the agreement.
Returning studentsA Lost or Not Qualified student who gets in touch again is reopened and goes back to the unassigned list.
Student overviewOne page with the student's profile, documents, shortlist, applications, chats and notes.
NotesInternal unless marked "share with student".
One-time importBefore launch, Clousor imports EuroCan's active students for the pilot intake from a spreadsheet template that EuroCan fills in.

3.5 Documents

FeatureWhat It Does
Standard document listsA list of required documents for each study level. Clousor sets up a sample list, and managers and admins keep it up to date. The counsellor can add items for one student.
Staff uploadsStaff add documents a student sent on WhatsApp or by email, or brought to the office.
Documents to checkCounsellors check the documents their students upload, and any a manager uploads. Managers check the documents counsellors upload.
Document checkingEach document is marked Checked, or Needs Correction with a note. Statuses: Waiting for Upload, Uploaded, Checked, Needs Correction and On Hold.
No self-checkingNobody can check a document they uploaded themselves.
On HoldA document that looks altered or fake is put On Hold, and the manager decides what happens.
Download for submissionThe counsellor downloads a student's checked documents, one at a time or all together, to upload on the institution's website. No watermark is added.
Financial documentsCollected only if an institution asks for them, and never assessed for a visa.

3.6 Programmes and Entry Check

FeatureWhat It Does
Institutions and programmesEach institution has its name, DLI number (its approval to host international students) and campuses. Each programme has its study level, field of study, intakes (open, waitlisted or closed), deadlines, tuition in CAD, application fee, co-op, entry requirements and refund policy.
First programme listClousor loads the first institutions, programmes and entry requirements once, at setup, from the lists EuroCan sends.
Programme editorOnly named staff update institution and programme details, directly in the back-office, with a link to the source.
Six-month re-checkNamed staff get a reminder when a programme hasn't been checked for 6 months.
Inactive programmesIf an institution closes or loses its DLI status, named staff mark its programmes inactive, and the affected counsellors get a task.
Entry checkCompares the student's marks, subjects, English scores (and whether they are still valid), study gap and backlogs with each programme. It uses the sign-up answers first, then the full profile. Requirements are recorded as each institution publishes them, including the number of backlogs allowed. No grade conversion is used.
Three resultsMeets Requirements, Does Not Meet Requirements with the reason, or Counsellor Review when information is missing. Missing information never counts as a pass.
Never blockedThe check is a guide. Students can still save or ask about any programme.
Counsellor Review taskThe counsellor gets a task when a programme marked Counsellor Review is added to a shortlist, and records the outcome.
Intakes in searchClosed intakes are hidden and waitlisted ones are marked.
"Above your budget" tagShows when tuition and fees are more than the student's budget. It is a guide only, not a study permit funds check.
Fair resultsCommission never affects the order of results, and search never checks visa or work permit eligibility.
Staff programme searchCounsellors search programmes for a student in the back-office and add them to the student's shortlist.

3.7 Applications

FeatureWhat It Does
Unlocked by the agreementApplications can start only after the agreement is signed (plus a parent or guardian for students under 18) and the consents are given.
Confirmation requestOnce the counsellor and student agree the programmes, the counsellor sends a request and the student confirms each programme in the app. Status: Student Confirmed.
Confirmation recordWho confirmed, when, and the programme and fees shown. Nothing is prepared without it. A student who can't use the app signs a programme confirmation form, and the counsellor uploads it.
Applications per intakeUp to 3 programmes per intake. The platform won't allow more, and an admin can change the limit.
Draft applicationsOne Draft application for each confirmed programme, campus and intake.
Pre-submission checkThe agreement is signed, the consents are given, the programme is confirmed, all documents are checked, and there is no duplicate application.
Final approvalThe counsellor reviews the application, fixes any gaps or asks the student, then approves it. Status: Approved.
Application feeAfter final approval, the student pays the application fee directly to the institution and uploads the receipt in the app. If the institution's agent website asks for payment during submission, the student enters their own payment details on that page. Staff never enter or see them.
Record the submissionThe counsellor submits by hand on the institution's agent website or through an application platform, then records the reference number and confirmation. Status: Submitted. EuroCan never asks for the student's password for an institution website.
Institution updatesThe counsellor records Institution Reviewing or More Information Requested, then checks and sends any extra documents.
No-news reminderA reminder when there has been no news from the institution 14 days after submission. An admin can change the number of days.
Change historyChanges after submission are recorded, and the original details are kept.
Applications listThe applications each person can see, with their status, from Draft to Closed.
WithdrawUntil the institution decides, a withdrawn application is marked Withdrawn. Before submission, the student cancels in the app. After submission, the counsellor records it. After an offer, the application is Closed with a reason.
Change of planWhen a student switches programme, campus or institution, they confirm the new one and a new application is created. The old one is marked Withdrawn or Closed. When a student defers, staff record the new intake.

3.8 Offers, Visa Status and Enrolment

FeatureWhat It Does
DecisionsThe counsellor records Conditional Offer, Unconditional Offer, Waitlisted or Refused, uploads the letter, and enters any condition and deposit deadlines.
Offer conditionsThe counsellor marks each condition met once the student sends evidence. A conditional offer can't be accepted until all its conditions are met.
Offer acceptedThe counsellor records the date the student accepted the offer with the institution. Status: Offer Accepted. Once the deposit is confirmed, the counsellor withdraws the student's other applications for that intake.
Deposit and tuitionThe counsellor records Deposit Confirmed once the payment provider's confirmation or the institution's receipt is received, and records later tuition receipts the same way.
LOA and PALThe counsellor uploads the LOA and, if the student receives one, the PAL with its expiry date. Uploading the PAL sets the visa status to PAL Received.
Visa statusStatus only: PAL Received, Permit Applied, Biometrics Done, then Visa Approved or Visa Refused. The student updates it, and the counsellor can correct it.
Visa refusalThe student decides whether to apply again, defer or withdraw. The counsellor records the outcome.
Visa help referralIf a student asks for visa help, the counsellor records their consent and refers them to the licensed consultants at AYS Immigration.
EnrolmentThe student reports their arrival. Status: Enrolled – Reported. The counsellor then records the institution's confirmation, usually after its add/drop (census) date. Status: Enrolled – Confirmed.
Waitlist follow-upThe counsellor follows up with the institution and records the final decision.
ClosedAn application is Closed with a reason, such as offer declined, conditions not met, offer withdrawn or did not enrol.

3.9 WhatsApp Inbox

FeatureWhat It Does
InboxAll WhatsApp chats on EuroCan's company number. Counsellors see the chats assigned to them. Managers also see unassigned chats and all chats.
Company numberEuroCan's company WhatsApp number moves fully to the WhatsApp Business Platform. After that, it no longer works in the WhatsApp app or on WhatsApp Web, so chats happen only in the back-office.
Chat linkingA chat is linked to the student who already has an account. If a new chat came from a WhatsApp ad, the platform records which ad.
Assign chatsA manager assigns new chats to a counsellor and can reassign any chat at any time.
Account from a chatStaff create a student account straight from a chat.
RepliesText, photos and documents, with the student's profile alongside the chat.
Hidden phone numbersCounsellors see the student's name, not their phone number, unless an admin allows it. Managers see phone numbers. Every view of a phone number is logged.
Chat documentsThe counsellor adds documents a student sends on WhatsApp to their profile, where they are checked like any other staff upload.
Reply alertsThe counsellor is alerted when a chat has waited 2 working hours for a reply, and the manager after 4 working hours. An admin can change both.
Manager oversightManagers see every chat, who replied and when.
24-hour rule and templatesStaff can reply freely within 24 hours of the student's last message. After that, they can send only a message template approved by Meta. Admins manage the templates, and the first ones are approved before launch.
No exportChats and contact lists can't be exported. Chats are kept only in the platform, for 2 years after the student's file is closed, then deleted.
CallsNot included in Phase 1. WhatsApp calling comes in Phase 2A.

3.10 Commission, Partners and Reports

FeatureWhat It Does
Institution agreementsCommission rate, who pays (the institution or an application platform), when commission is earned, payment terms, and when it can be taken back (clawback).
ExpectedWhen the student accepts an offer and the deposit is confirmed, the platform creates a commission record. Status: Expected.
EarnedWhen the condition in the institution's agreement is met, usually confirmed enrolment or tuition paid, the record is marked Earned. A visa approval on its own never earns commission.
Agent checkFinance checks that the institution lists EuroCan, or the application platform EuroCan used, as the student's agent. If not, the record is Cancelled with a reason. A record can be invoiced only after this check.
InvoicesThe platform creates a numbered PDF invoice. Finance downloads it, emails it to the institution, and the record moves to Invoiced. Finance sets the tax rate on each institution agreement. It can be zero.
PaymentsFinance records each payment. Status: Paid. Finance sees unpaid and late invoices, and sends a reminder when a payment is late.
Cancellations and clawbacksWhen an application with a commission record is Closed, Finance gets a task to cancel the record with a reason. If an institution takes commission back, Finance cancels the unpaid invoice or records the amount repaid.
DeferralsWhen a student defers, the commission record moves to the new intake.
PartnersStaff add recruitment partners, and Finance records each partner's share.
Partner statementsEach month, the platform creates a PDF statement in CAD for each partner, listing the students they referred and the partner's share. Finance downloads and emails it. A share is paid only after the institution pays EuroCan, and Finance records when it is paid. If commission is taken back after a share was paid, the amount is deducted from the next statement.
Spreadsheet exportFinance exports invoices and payments to a spreadsheet (CSV) for EuroCan's accountant. It works with any accounting system.
ReportsEnquiries by source, students by stage (their latest enquiry or application status), offers and enrolments by institution and intake, commission by status, and unpaid invoices. Each report can be filtered by counsellor and home country.

3.11 Staff Home, Admin and Security

Platform settingsThe applications-per-intake limit, the no-news reminder period, the WhatsApp reply-alert times and WhatsApp templates.
Activity historyWho opened or changed what, and when. Nobody can edit it.
Protected documentsPassports, transcripts and financial documents are encrypted, and every staff access is logged.

3.12 Connected Services

  • Counsellors see only the students and chats assigned to them. When a manager reassigns a student, access moves to the new counsellor.
  • Nobody checks a document they uploaded themselves.
  • Admins can't open student documents or change commission records. Counsellors never see commission.
  • Every view of phone numbers, passports, transcripts and financial documents, and every change, is logged.

5. How We Check Each Feature

Phase 1 is accepted when these checks pass in the test version of the platform that Clousor shares with EuroCan before launch.

5.1 Student Website

  • A new student can sign up, confirm their email and sign in.
  • With "Only programmes I qualify for" switched on, no programme marked Does Not Meet Requirements appears.
  • A programme saved on the website appears in the student's shortlist in the app.

5.2 Student App

  • A student signs in to the app with the same email and password they use on the website.
  • Applications unlock without any staff action once the agreement is fully signed in DocuSign, including by a parent or guardian for a student under 18, and the consents are given.
  • The student can open and download their LOA and PAL.

5.3 Messages and Settings

  • Each event sends a push notification and an in-app message to students with the app, and an email to students without it.
  • Passport details and payment receipts never appear in an email or WhatsApp message.
  • A student who unsubscribes gets no more marketing messages.

5.4 Enquiries and Students

  • When staff create an account, the student gets a set-password email, and staff never see the password.
  • A new student stays in the manager's unassigned list until a manager assigns them.
  • A student can be marked Not Qualified or Lost only with a reason.

5.5 Documents

  • The person who uploaded a document can't mark it Checked.
  • Marking a document Needs Correction requires a note, and the student is notified with it.
  • A document put On Hold appears on the manager's list.

5.6 Programmes and Entry Check

  • Missing information gives Counsellor Review, never Meets Requirements.
  • Closed intakes don't appear in search, and waitlisted ones are marked.
  • A programme not checked for 6 months creates a reminder for named staff.

5.7 Applications

  • An application can't be created before the agreement is signed, the consents are given and the programme is confirmed.
  • The platform blocks a fourth application for the same intake while the limit is 3.
  • An application can't be marked Submitted without a reference number.

5.8 Offers, Visa Status and Enrolment

  • A conditional offer can't be marked Offer Accepted until all its conditions are met.
  • Uploading a PAL sets the visa status to PAL Received and sets a reminder 7 days before it expires.
  • The visa status shows who changed it last.

5.9 WhatsApp Inbox

  • A counsellor sees only the chats assigned to them, and no phone numbers unless an admin allows it.
  • More than 24 hours after the student's last message, the counsellor can send only an approved template.
  • Chats and contact lists can't be exported.

5.10 Commission, Partners and Reports

  • Accepting an offer with a confirmed deposit creates an Expected commission record.
  • A record can't be invoiced until Finance confirms EuroCan is listed as the student's agent.
  • Counsellors can't see commission anywhere in the platform.

5.11 Staff Home, Admin and Security

  • Staff can't sign in without the one-time code.
  • Viewing a phone number, or opening a passport, transcript or financial document, is logged with who did it and when.
  • Admins can't open student documents or change commission records.

5.12 Connected Services

  • Once the student, and a parent or guardian for a student under 18, sign the agreement, its status updates in the platform.
  • Emails come from EuroCan's own domain.
  • WhatsApp messages sent from the back-office reach the student from EuroCan's company number.
